How to Use Plansom - Step by Step Manual

A. Create a Plansom Account

To begin, you’ll need to create an account:

  • Visit the plansom website - https://plansom.com/
  • Click on the “Try Now” button.
  • Fill in your details (name, email, password) and agree to the terms and conditions.
  • Click "Create Account" to get started.

For existing account:

  • Visit the plansom website - https://plansom.com/
  • Click on the “Log in” button.
  • Fill in your details (email & password).
  • Click "Sign In" to get started.

B. AI Plan Generator

(I) Generator

Once you have an account, it’s time to get started:

  • Click on the bottom right chatbot to open AI Plan Generator. Or click on the bottom right chatbot once it pops on your screen.
  • Give detailed prompts to the AI Plan Generator. Answer all default questions.
  • Once you’ve answered all questions, your plan will start cooking.
  • Select “Click Here” to see your strategy.
  • Plansom will redirect you to the “Objectives” dashboard.
(II) Create Your Own Sets of Questions

Customising your Planning Process by creating your own sets of questions:

  • Select the top right dropdown menu and select “chatbot”.
  • Click on the top right “Create Question” menu.
  • Fill in the details (label and questions). Select “Add Question” and create your own sets of questions.
  • Press submit when done.

C. Home

Once you have finished giving a prompt, you can access your plan on the “Home” dashboard. Plansom automatically calculates your pace and gives you a completion timeframe displayed below the generated plan.

(I) Filters

Plansom offers three filter options:

  • Select Organisation
  • Select Scope - Organisation, Team and Personal
  • Select the Time Scope
  • Upload Template

D. Objectives

Plansom provides prioritised objectives curated just for you. You can access, analyse and manage your objectives from the left sidebar, click on the “objectives” icon.

(a) Objectives

(i) View Objective

Your objectives will be listed on the screen. Each objective will display the following details:

  • Status: Indicates if the objective is on track, at risk, etc.
  • Objective Name: The name of the objective.
  • Description: A brief description of the objective.
  • Complete: The percentage of completion.
  • Wins: The percentage of tasks or milestones achieved.
  • On-time: The percentage of tasks completed on time.
  • Risk: The risk level (e.g., high, medium, low).

You can also create sub objectives and tasks by clicking on the Add button. Click on the pencil icon to edit. You can also delete, archive and share your objective with your team members.

(ii) Manage Objective

Once you click on the objective, it will open an individual objective screen where you can add details like objective name, align objectives, upload pdf attachments. In the detail section you can assign an objective owner, select scope, and add description.
In the advanced Details section, you can Make template, Go to chat and press save.

(b) Aligned Sub-Objectives

(i) View Aligned Sub-Objective

Plansom will curate a list of sub-objectives under the objective, breaking down the complex plan and prioritising them based on impact and effort so the most important work gets done first.

(ii) Managing Sub-Objective

By clicking on individual sub objectives, you can view all aligned tasks arranged in a prioritised manner. This means you'll always know which tasks to tackle first, ensuring that you're making the most of your time.
Once you click on the sub-objective, you can add details like objective name, align objectives, upload pdf attachments. In the detail section you can assign an objective owner, select scope, and add description.
In the advanced Details section, you can Make template, Go to chat and press save.

(iii) Create Objective

Located on the right side of the screen, you can manually create a new objective.

(c) Aligned Tasks

Plansom curates tasks based on your objectives. All tasks are prioritised so that the most important task gets done first.

(i) View Tasks

The task will be laid down under each objective and sub objectives. There are multiple filters that help you analyse and manage your tasks.

  • “Who” - section allows you to see the task.
  • “Type” - section allows you to filter out the type of task from multiple options like Thankless, black hole, low hanging fruit, game changer, core, hard core, support, time sink.
  • “Impact” - section allows you to analyse how important the task is based on low, medium to high impact.
  • “Control” - section allows to analyse if the progress of a task is based on low, medium to high control.
  • “Risk”- section allows you to analyse the priority of the task. How important it is to complete the task based on low, medium to high risk.
  • “Effort”- section allows to see the time delegated to each task in hours.
  • “Status” - sections allows you to analyse the status of a task if it's scheduled, completed etc.
  • “Action” - section allows you to edit, delete and share your tasks.
(ii) Manage Task

To manage tasks, click on individual tasks you want to open. You can change task name, add description, align objectives and upload pdf attachments for each task. You can edit details like check task creator, delegate task owner, set task impact, control and efforts in hours, reschedule time slots, select task completion status from yes or no and lastly select the task success based on three parameters i.e Hit, Miss, Beat.
You can start a chat for individual tasks and save your changes.

E. Task

Task screen allows you to schedule, manage, and track tasks related to your objectives. Here’s a step-by-step guide to help you navigate this feature:

(i) View Task

The main section of the screen displays a list of tasks scheduled for the next 7 days. For each task, you can see the following details:

  • Who: The person responsible for the task.
  • Type: The type of task (e.g., Thankless, black hole, low hanging fruit, game changer, core, hard core, support, time sink)
  • Objective: The objective associated with the task.
  • Task: A task assigned for the listed objective.
  • Impact: The impact level to analyse how important the task is based on low, medium to high impact.
  • Control: The control level to analyse if the progress of a task is based on low, medium to high control.
  • Risk: The risk level to analyse the priority of the task. How important it is to complete the task based on low, medium to high risk.
  • Effort: The estimated effort required to complete the task.
  • Deadline: The due date for the task.
  • Schedule: The scheduled date for the task.
  • Task Status: The current status of the task (e.g., Scheduled, to be scheduled).
(ii) Upcoming Task

The Upcoming Tasks allows you to view, manage, and schedule tasks that are planned for the future. All the low priority tasks are queued in the upcoming task section.

(iii) History

The History section allows you to view the completed task list.

F. Messages

You can access messages by clicking on the “Messages” option from the left screen menu.

(i) Create Message

By clicking on the + button, you can create a new message thread. Fill out the details like, “thread topic” and select users from your organisation.
You can also create a new user by clicking on the “create user here…”. Press the create button to start a message thread.

(ii) Access Messages

You can access a list of message threads created by you or your team members in the messages screen. With Plansom, collaboration is seamlessly integrated into your tasks and objectives. Users can start a message thread from objectives and tasks.

(iii) Send Messages

Select and open the message thread you want to collaborate in. Type in your message, add attachments and press send.

G. Calendar

Calendar allows you to view and manage your tasks and objectives over different time frames.

(i) View your calendar
  • Select View Mode: Choose between Day, Week, or Month view by clicking on the appropriate button at the top right of the calendar.
  • Navigate Dates: Use the arrows next to the month and year to navigate through different time periods.
  • Filter by Task Status: Use the "Task status" filter to view tasks based on their status (e.g., Scheduled, Completed). Click on the status tags to include or exclude them from the view.
  • Clear Filters: Click "clear all" to reset all filters and view all tasks.
  • Tasks are colour graded based on four parameters i.e Hit, Beat, Miss and Scheduled tasks.
(ii) View Tasks details
  • Task Blocks: Tasks are displayed as blocks on the calendar. Each block shows the task name and objective.
  • Click on Tasks: Click on a task block to view more details about the task, such as creator, owner, status and deadline.
  • You can filter your tasks on a calendar based on three parameters i.e select organisation, select scope and time period.

H. Track

The Track screen allows you to monitor the progress and performance of your individual objective, teams, and organisation.
Choose a Category: At the top of the screen, select whether you want to track by Objective, Team, or Organization by clicking on the respective tab.

(i) Review Key Metrics
  • % Complete: View the percentage of tasks and objectives that have been completed.
  • % On-time: View the percentage of tasks and objectives completed on time.
  • % Wins: View the win rate of tasks and objectives, categorised as Hit, Beat, or Miss.
(ii) Analyze Task Data
  • Task Impact: View a graph showing the impact of tasks categorised as High, Medium, or Low over time.
  • Task Completion by Type: View the completion rate, on-time rate, and win rate by task type (e.g., Game Changer, Core, Support).
(iii) User Performance
  • User Performance by Organization: See a list of users along with their email and the total hours they have completed.
  • Detailed User Performance: Click on a user's name to see detailed performance metrics for that user.
  • Time by Objectives: View the time spent on each objective to ensure alignment with strategic goals.
  • Completion Metrics: Check the completion, on-time, and win percentages for each objective.
(iv) Monitor Performance Over Time
  • On-time Performance Over Time: View a graph showing the on-time performance trend over a selected period.
  • Time Alignment: View how well the time spent on tasks aligns with strategic goals..

The Subscription Plan screen allows you to choose and manage your subscription plan.

(i) View Available Plans

    1. Monthly Plan:

  • Price: $14.99 per month.

  • Discount: 0%.
  • Free Trial Period: 7 days.

    2. Yearly Plan:

  • Price: $149.30 per year.
  • Description: This plan offers a significant cost-saving option and additional benefits for long-term commitment. Users can enjoy premium services and features for an entire year.
  • Discount: 17%.
  • Free Trial Period: 7 days.

J. Strategy Store

The Plansom Strategy Store offers a range of customizable standard and premium templates for you. Use the "All categories" dropdown to explore different categories such as HR, Operations, Customer Service, Sales, and Marketing etc. Use the left and right arrows to scroll through different categories and featured strategies.

(i) Select the strategy
  • Learn More: Click on the "Learn More" button on a strategy card to view detailed information about the strategy.
  • Description: Read the detailed description to understand how the strategy can benefit your business.
  • Choose: Click the "Use Plan" button to select and customise the strategy.
